Property Recordkeeping for Property Managers

When staff change, portfolios transfer, and guest or vacancy questions arrive months later, property managers need a recordkeeping layer that preserves continuity across the portfolio.

Problems portfolio teams recognize

Records spread across systems. Staff turn over. Portfolio handoffs lose context. Tenant and guest questions arrive after assignments change. Different people remember different versions of the same property story.

Your property-management system runs the property. DocuStay preserves the record behind it. Operational systems may hold current tenant data, leases, notes, documents, activity entries, audit history, accounting, maintenance, and communications. That operational history is valuable. It is not necessarily the same thing as an independently preserved chronology of property status, authority, authorization, expected state, confirmation, transition, uncertainty, and supporting evidence.

DocuStay focuses on that dedicated chronology so the portfolio retains explainable context across management and operational-authority changes, without rewriting what had already been recorded.

What DocuStay offers managers

Use DocuStay for focused recordkeeping workflows across properties and units: authority, authorization, status, expected state, confirmation, transitions, gaps, supporting records, and role-scoped visibility.

  • Portfolio-level property and unit chronology
  • Authority and authorization continuity as relationships change
  • Status, expected state, confirmation, and visible unconfirmed intervals
  • Supporting records connected to the events they support
  • Role-scoped visibility for owners, staff, and other supported roles
  • Historical context that survives manager and staff changes
  • Independent use without requiring another property-management platform

Independent use, coexistence, and integration path

Think of DocuStay as an independent continuity and record-authentication layer for the property. Here, authentication means strengthening provenance and context around the record through supported elements such as authority, role context, timestamps, acknowledgments, signatures where supported, event history, supporting records, and preserved transitions. It does not mean DocuStay decides legal truth, and it does not mean every operational system event is automatically captured.

DocuStay can be used on its own as a focused status, authorization, and historical recordkeeping platform. A customer does not need AppFolio, Yardi, Buildium, Entrata, MRI, Rentvine, or another PMS in order to use DocuStay.

Organizations can also continue using their existing property-management system for rent, maintenance, leasing, accounting, and daily operations while using DocuStay for the recordkeeping layer. The systems are complementary: one runs operations, the other preserves a dedicated property-status and authorization chronology.

Where a provider offers appropriate developer access and the customer or provider grants authorization, a DocuStay adapter or integration path can be evaluated so relevant information can flow into the independent continuity layer. The purpose is not mere data duplication. The purpose is preserving relevant provenance, chronology, authority, status, and change in the DocuStay record model.

DocuStay does not replace your property-management system, and this page does not claim that any named PMS currently has a live DocuStay integration.

DocuStay provides property-status and authorization recordkeeping. It does not provide legal advice, eviction services, or determine legal occupancy rights.
